Three failed deposits in a row mean one thing: the player tried to give you money three times. That deposit can be recovered, but by decline reason, not by guesswork. According to payment vendors, operators that switch route and payment method at once recover 20-30% of declines. Below is a playbook for support, CRM and VIP managers: 9 decline reasons, who contacts the player, where and when, which alternatives and bonuses are allowed under regulated and offshore licences, and where help turns into a breach. Regulator and card scheme rules as of October 2026.
9 decline reasons and what to do
Reason first, channel second. The decline reason decides, not the licence type.
Recover the deposit at once
| Reason | What the player sees and where we lead | Alternative | Bonus |
|---|---|---|---|
| A technical failure on our side or the payment provider's | "Technical issue, no money was taken" with "Try again" and "Another method" buttons. Lead back to the cashier | Retry via the backup provider after checking nothing was charged, or another method in the player's name | Our failure: a modest gesture with terms under an offshore licence, market rules under a regulated one |
| The bank declined the card with no reason | "Your bank declined the payment" and one method in one click. Lead to the cashier with that method preselected | Regulated licence: pay by bank in the player's name; in Ukraine only the player's own card or Ukrainian bank account. Offshore: crypto via a regulated service or an e-wallet in the player's name | No, it is the bank's decision |
| The player mistyped card details or did not confirm in the bank app | A hint next to the field or "Confirm the payment in your bank app". Lead back to the cashier with details saved | The same card after the fix, one attempt with confirmation | No |
| The money is processing or stuck with the provider | "Your deposit is processing, usually up to N minutes". Lead to the payment status page | Wait for the final status. Never credit manually: that is credit to the player | A delay we caused: a modest gesture under an offshore licence, market rules under a regulated one |
Investigate, do not push
| Reason | What the player sees and where we lead | Alternative | Bonus |
|---|---|---|---|
| A document check is needed (KYC threshold) | "A document check is needed for this deposit". Lead to the KYC page | Fast KYC, not another method to get around it. Thresholds: Curacao 4,000 guilders, Anjouan €3,000 in deposits | No |
| Insufficient funds | "Your bank reported insufficient funds", with no offers. Lead nowhere | We offer none. The player picks the amount | No. A series of these declines is a harm indicator in the UK and in Anjouan |
| The card is not accepted or the bank blocks gambling | "This card cannot be used for this payment". Lead to method selection | Another method in the player's name, only if the player did not set the block. Do not offer this card again | No |
| Suspected fraud or someone else's card | "This payment needs an extra check". Lead nowhere | None, manual review first. Never disclose the suspicion | No |
Stop
| Reason | What the player sees and where we lead | Alternative | Bonus |
|---|---|---|---|
| A player limit, self-exclusion or harm flag | "You have reached your limit" or "Deposits are restricted". Lead to the limits page, information only | None. Do not rescue the deposit and do not raise the limit outside the procedure. In Germany you may state the remaining limit | No. In the Netherlands a deposit block means 30 days without bonuses |
Who contacts the player, where and when
The timings are our recommendation: tune them to your own data.
| Reason | Cashier | Push | Chat | Call | Team alert | |
|---|---|---|---|---|---|---|
| Our failure | At once | When fixed | In session | If down over 30 min | VIP manager | Payments at once |
| Bank declined | At once, 1 method | After 30 min | On 2nd attempt | After 60 min | VIP after 2nd attempt | VIP manager |
| Data error | Hint by the field | After 10-15 min | From 2nd error | No | No | No |
| Processing | Status and timing | On crediting | Reply with timing | If over the timing | VIP: reply window | If overdue |
| KYC needed | At once | After 1 hour | Help | Document list | VIP | KYC team |
| No funds | Neutral | No | No | No | No | Series: responsible gambling |
| Card not accepted | Method choice | No | If asked | No | No | No |
| Suspected fraud | Neutral | No | Script only | No | No | Fraud team at once |
| Limit or harm flag | Service | No | Service only | No | No | Responsible gambling |
A service message with no offer can go to every player. An offer only with marketing consent and no harm flags. One proactive intervention per session: push, messenger and email do not repeat each other within the same hour.
Regulated licence versus offshore
Regulated: the UK, the Netherlands, Germany, Sweden, Ontario, Ukraine. Offshore: Curacao, Anjouan.
| Regulated | Offshore | |
|---|---|---|
| Alternative after a decline | A bank method in the player's name. In Ukraine only the player's own card or Ukrainian bank account | Crypto via a regulated service, an e-wallet or a local method in the player's name |
| Bonus for our failure | Sweden: not even free spins for a technical error, a court ruled. The Netherlands: practically no. The UK: wagering up to x10. Ontario: only with consent. Ukraine: safer to refund the fee in cash | Allowed: modest, with terms the player accepted. Not after a series of insufficient funds or with harm flags |
| Channel consent | The UK: marketing consent per channel. Ontario: offers only with active consent. Ukraine: messages to an undefined audience are banned, service messages to your own players are fine | Per licence terms and player consent; service messages are fine |
| Crediting before the money arrives | Credit to the player: banned in Ukraine, the Netherlands, Germany, Sweden. The UK: only as a formal credit product | Curacao: the law bans any form of credit. Anjouan: it breaks the mandatory reconciliation |
| Repeated declines as a harm signal | The UK | Anjouan, since 13.10.2026 |
| P2P to private cards | In Ukraine an operator already lost its licence over it | High AML and acquiring risk |
Money stuck: no advances
Crediting the balance "until the money arrives" looks like VIP care. Legally it is credit to the player.
Credit to players is banned outright in Ukraine (bets on deferred payment and loans to players, Art. 15 of Law 768-IX), the Netherlands, Germany, Sweden, Malta and Curacao, where the LOK law bans any form of credit. In the UK online credit is possible only as a formal product with checks and a limit, and an informal arrangement with a VIP already cost an operator £500,000: the customer played before bank transfers completed, and his spending grew.
Even where the law is silent an advance is risky: a card authorisation expires after about 7 days, a chargeback can arrive up to 120 days later, open banking can reverse a payment after a provisional confirmation, and a late provider confirmation easily credits the deposit twice.
What to do instead
- A "deposit processing" status with the method's usual timing, visible to the player.
- Credit only on the provider's final status, with one key per transaction to prevent double crediting.
- Daily reconciliation of provider reports against player balances.
- The VIP manager stays in touch, gives a reply window and comes back when the money lands.
Retries and cascading by scheme rules
- After a hard bank decline (lost card, transaction not permitted, closed account) never retry that card.
- No more than 10 declines per card per day and 15 attempts in 30 days: the strictest card scheme and acquirer limits, with fees above them.
- Cascade to another acquirer only after a technical failure and with the same MCC 7995 and merchant country. Rerouting a payment to change country or MCC is banned by scheme rules.
- Never work around a gambling block set by the bank or by the player.
VIP: the manager comes with the answer
The client does not hunt for support. The manager's job: recover the deposit and the trust without breaking market rules.
Client name, amount, method, decline reason, provider status (charged, not charged, processing), KYC and responsible gambling flags.
Limit, self-exclusion or harm signs: no selling and no pushing, hand over to responsible gambling. VIP status does not override player protection.
In the channel the client chose: messenger, call or chat. In their hours and their language.
What happened in plain words, where the money is, what to do (one link to a method in their name or to KYC), and when you will be back with an answer.
The manager contacts payments and KYC personally and confirms crediting in the same channel. If the timing slips, writes before the client asks.
Only if the failure was ours. Offshore: a modest gesture with terms. The UK: wagering up to x10. Sweden: cash with no play only. The Netherlands and Ukraine: refund the fee. Never an advance on the balance.
What the manager never does: credit the balance "until the money arrives", give a bonus despite harm flags, offer a pile of methods, P2P or other people's cards, or promise timings they do not know. More on the role in VIP manager.
What to measure to see the money
- Recovery by reason: the share of declines that became a deposit within 1 hour and 24 hours, for each of the 9 reasons. The overall approval rate hides where the money is lost.
- Time to first contact: minutes from the decline to the cashier message, the chat and the VIP manager's message.
- VIP deposits recovered by the manager, and which providers and methods lose them most often.
Payment vendor benchmarks (no published method): a blind retry recovers 4-8% of declines, a retry via another provider plus a method switch 15-30%. Your own data by reason beats anyone else's numbers.
Frequently asked questions
What should you do when a player has several failed deposits in a row?
Find the reason first. A technical failure, a bank decline or a data error: show the reason and one method in the player's name at once, then chat, push and email by the flow. Insufficient funds, a limit or a harm flag: do not push.
Can you credit a deposit manually while the payment is processing?
No. It is credit to the player: banned in Ukraine, the Netherlands, Germany, Sweden, Malta and Curacao, and in the UK possible only as a formal product. The right way is a "processing" status and crediting on the provider's final status.
Can you give a bonus for a failed deposit?
Only if the operator caused the failure and the market allows it. In Sweden even free spins for a technical error count as a bonus, in the Netherlands it is practically impossible, in the UK wagering is capped at x10, and in Ukraine refunding the fee is safer. No bonus for a bank decline.
What should you offer instead of a card?
One method in the player's name. Under a regulated licence a bank method; in Ukraine only the player's own card or Ukrainian bank account. Offshore: crypto via a regulated service, an e-wallet or a local method. Never P2P to private cards.
How should a VIP manager tell a client about a decline?
Within 15 minutes, in the client's channel, after checking flags. Say four things: what happened, where the money is, one link and when you will be back. Then the manager handles payments and KYC personally.
The bottom line: helping a payment through is fine under any licence, pushing a player after a harm signal is not fine anywhere. The playbook as one file, 3 pages for support, CRM and VIP, is in the Telegram channel.
